Overview
Tier 1 Reporting supports multiple reporting period configurations. Understanding how reporting periods and snapshot settings work is key to interpreting your diversity spend data correctly, especially when a supplier’s certification status changes mid-year.
Reporting Period Types
Calendar Year: Always begins on January 1 and ends on December 31.
Fiscal Year: A financial reporting period used by your organization, which may not align with the calendar year. Fiscal year dates vary by organization and are configured during implementation.
Rolling Calendar Year: A period of 12 months that starts and ends at different points in time depending on the current date. This is useful for continuously tracking the most recent 12-month window of spend activity.
Yearly vs. Quarterly Snapshot
The Snapshot setting determines how a supplier’s diversity status is maintained across reporting periods when their certification changes during the year.
Yearly Snapshot: If a supplier holds a diversity certification at any point during the fiscal year, that status is preserved for the entire year across all quarters. For example, if a supplier is classified as MBE in Q1 but their certification lapses in Q2, they will continue to appear as MBE in Q2 through Q4 under the Yearly Snapshot setting.
Quarterly Snapshot: Diversity status is only applied for the quarter(s) in which the supplier held an active certification. Using the same example, the supplier would appear as MBE in Q1 only, and would not carry that status into Q2, Q3, or Q4.
Why a Supplier May No Longer Appear as Diverse
If a supplier was showing as diverse in a previous period but is no longer appearing that way, it typically means one of the following:
- The supplier’s certification expired and the expiration date has passed the client’s grace period.
- The Quarterly Snapshot setting is active, and the supplier’s certification did not carry over.
- The supplier’s status was updated by the certifying agency.
If your organization uses a Yearly Snapshot, the supplier should continue to appear as diverse throughout the full reporting year. If you have a Yearly Snapshot configured and the status still dropped, please contact support@supplier.io with the supplier name and SIO ID for investigation.
